In this Privacy Policy we inform you about the ways that Mobilize Me collects and processes your personal and non-personal information when you visit this website or use our products, Mobilize Me and PlaNet.

1. General

1.1. This Privacy Policy applies to all personal data that you provide to us and/or that we collect about you when you are a customer of Mobilize Me, or when you visit our website www.mobilize-me.com including our webshop

2.2. When we process personal data, we naturally comply with the EU General Data Protection Regulation (GDPR) and the Danish data protection rules that may apply after 25 May 2018.

2.4. If you wish to gain insight into your personal data or believe that incorrect data has been registered – or if you have other objections – you may likewise contact Mobilize Me. You have the possibility to gain insight into which information is registered about you, and you can object to a registration in accordance with the rules of the Danish Data Protection Act.

3. Website and cookies

3.1. When you visit the website www.mobilize-me.com, use Google Analytics cookies. A cookie is a small text file that is stored in your browser in order to recognize your computer upon recurring visits. Cookies help us see how many people visit the website (traffic measurement), as well as how our users interact with the website. We do not process information about user behaviour that can link behaviour to specific individuals.

3.2. As mentioned in section 3.1, we use Google Analytics cookies to provide us with insight into how visitors use our website. We do not share this data with anyone, and the knowledge we obtain is used solely to improve the website and the user experience for you as a visitor. Google Analytics stores user and event data linked to cookies, user IDs or advertising IDs from www.mobilize-me.com for 14 months.

3.3. Cookies delete themselves after a certain number of months (this may vary), but they are renewed after each visit.

4. Collection of personal information

4.1. If you are a customer, a partner or contact us by e-mail or via the website www.mobilize-me.com, we collect the following general personal data about you: name, address, postal code, city, country, mobile number, email address as well as billing information such as company name, CVR number, payment information, etc.

4.2. Personal data is never disclosed to third parties unless you yourself explicitly consent to this.

4.3. We collect no special categories of personal data (sensitive data) about you.

5. Processing of personal data

5.1. We process personal data only to the extent necessary, for example when you are registered as a customer or enter into a collaboration with us. It may, for example, be necessary in order for us to fulfil our obligations under agreements and related services. It may also be to comply with the obligations we have as a Danish company subject to Danish law.

5.2. The contact information that you provide to us in connection with establishing a customer relationship or entering into a professional collaboration is registered in our CRM system. This includes contact information such as: area of work, job title, first name(s), surname, address, telephone number and email address.

If you contact us for other purposes such as technical questions, reporting a problem or other enquiries regarding our collaboration, this is likewise registered in the CRM system. This is done as part of the operation of our business and to provide you with good customer service.

5.3. Personal data must be understood as defined in the data protection legislation.

5.4. We do not create profiles about you and do not misuse your personal data. We also do not pass on your personal data without your consent, unless we are obliged to do so under legislation.

5.5. If you are a customer, we use your personal data to:

Send order confirmations, access codes and user guides to you
Provide you with customer service, support, respond to questions and comply with your requests
Fulfil your orders and deliver our services
Handle the administration of your customer relationship
Send notifications about new options, products, prices, system updates, downtime, etc. via email.

6. Data processing

To be able to support the use of our apps, it is necessary to process certain information about you. Only information from registered users of the system is collected. No data is collected that you as a user do not yourself have access to in the system, or that is not used for system maintenance or invoicing.

6.2. Images. The Mobilize Me and PlaNet tools use images that are stored on the device you use to access the tools. These may be personal images or images you find via the embedded archive (for Mobilize Me) or internet search. These images are linked to the individual user account and can only be seen by you and the persons who are connected to the account as “planners”.

7. Storage of data

We process your data continuously as long as you are a registered user of our tools. Your data is stored according to applicable security standards on our server. If you wish to delete your account, billing data, usage activity and application data may be stored for 5 years, pursuant to the Danish Bookkeeping Act, before they are deleted from our server.

Log files are deleted after 1 year from our servers. We primarily use logs for troubleshooting, and we do not believe older log files serve this purpose, therefore they are deleted automatically. Application data (user data) is deleted 3 months after the end of the customer relationship. Additionally, backups are stored for 30 days. This means it can take up to 13 months after the end of the customer relationship before application data is completely deleted.

8. Sharing of your personal data

8.1. We may share your personal data with suppliers and partners who assist us in carrying out your order, or who assist us with IT operations, hosting, SMS gateway, etc. This means that we may, for example, share your information with our service providers, technical support and bank.

8.2. We share your information to the extent that we are obliged to do so, for example due to requirements regarding reporting to public authorities such as the Danish Tax Agency (SKAT).

9. Sharing of information with recipients outside the EU/EEA

9.1. As the data controller, we do not share personal data with recipients outside the EU/EEA.

10. Protection of personal data

10.1. According to the Danish Data Protection Act, your personal data must be stored securely and confidentially. We store your personal data on computers with limited access, placed in controlled facilities, and our security measures are continuously monitored to ensure that our user information is handled responsibly and with constant regard for your rights as a user.

However, we cannot guarantee 100 percent security during data transfers over the internet, even though we use https for encryption. This means there may be a (limited) risk that others may unlawfully gain access to information when data is sent and stored electronically. You therefore provide your personal data at your own risk. In the event of a data breach affecting your personal data, you will be informed according to the instructions of the Danish Data Protection Agency.

10.2. Personal data is deleted or anonymized on an ongoing basis as the purpose for which it was collected is concluded. Personal data is stored for a maximum of 12 months after the purpose is concluded – unless there has been a billing relationship. In this case, personal data is stored for up to 5 years.

10.3. The rapid development of the internet means that changes in our processing of personal data may become necessary. We therefore reserve the right to update and amend these guidelines for the processing of personal data. If we do so, we will naturally update the date under section 11 “last updated” at the bottom of the page. In the event of significant changes, we will notify you in the form of a visible notice on our website.

10.4. To the extent that personal data about you is processed, you are, according to the Danish Data Protection Act, entitled to be informed of which personal data can be attributed to you. If it turns out that the information or data processed about you is incorrect or misleading, you have the right to have it rectified, deleted, or blocked. You may at any time object to the processing of information about you. You may also at any time withdraw your consent. You also have the option to complain about the processing of information and data concerning you. Complaints must be submitted to the Danish Data Protection Agency, cf. section 58, subsection 1 of the Danish Data Protection Act.
